I am looking to see if I can find anyone out there that would be willing to share RFP's regarding Large Theatre upgrades. In particular we are looking at upgrading a few of our Schools Theatres and getting the sound and lightning upgraded with newer technology (LED, digital). My luck so far in trying to find any school district that have gone through this to be almost nil. I would love to see samples of RFP (personal and private info can be removed) to see how Lightning, sound equipment recommendations were handled and how the removal of the old existing equipment and the installations details of the new equipment were detailed in the RFP. I am well under way in getting this going but think as I move from step to step that someone or some samples of this must be available through either some clients that have gone through this or companies that have bid on such types of RFP's and/or have won bid opportunities that are willing to share their experience and documentation.
I'm crossing my figures on this and hope to find a few responses.

I'm located in Ontario, CANADA but the basic of RFP's are very similar within North America. Looking for samples that could be shared.
I would make sure you stick with someone that knows your local codes. You may want to contact Bob Snelgrove at GERR Audio. They sell/service touring PA gear but have been around the industry for decades. If they don't do that kind of work, they probably have worked with some that does. They are in Brockville, Ontario. Tell Bob that Jonathan (formerly of AP) recommended you.
the trouble with getting an RFP approved is finding the right angle to make a trustee understand why upgrading is a benefit vs the capital expenditure.
in the case of moving to LED lighting the power savings almost sells itself especially here in Ontario.
the audio portion may need more justification unless your talking about equipment that's no longer functional most trustee's will apply the rudimentary logic that "if it works why do i need to replace it!" so playing politics and being a cunning salesman is a necessary skill to getting your request approved.
